Purpose
The Payroll Specialist oversees the payroll process for our diverse workforce, ensuring full compliance with federal, state, and local regulations. This role also spearheads audit responses and serves as a subject matter expert on payroll procedures and regulatory compliance.
Responsibilities
- Oversee and process bi-weekly and monthly payroll for all employees, ensuring accuracy and timeliness.
- Review and reconcile payroll data, including hours worked, overtime, bonuses, and deductions.
- Maintain and update employee payroll records, including new hires, terminations, and changes in status.
- Ensure compliance with all applicable laws and regulations related to payroll, taxes, and reporting.
- Prepare and submit payroll tax filings and ensure accurate payment of payroll taxes.
- Respond to employee inquiries regarding payroll, deductions, and related issues, providing excellent customer service.
- Collaborate with HR and Finance teams to resolve payroll discrepancies and ensure data integrity.
- Assist in the implementation and optimization of payroll systems and processes.
- Prepare payroll reports for management and provide insights on trends and issues.
- Mentor and train junior payroll staff, fostering a culture of continuous improvement.
- Maintain a working knowledge of FDA 21 CFR 1271, FDA 21 CFR 820, AATB standards, ISO Standards, cGMP/CGTP, other relevant regulations/standards, and internal organizational policies and standard operating procedures.
- Start job duties on time, stay on the job throughout the assigned shift to complete duties properly, and attend all scheduled meetings and appointments.
- Work outside normal business hours during weekdays and on the weekend as needed to support business/operational needs.
- Perform other related duties as assigned.
Skills
- Strong knowledge of federal, state, and local payroll regulations and tax laws.
- Exceptional attention to detail and accuracy in data entry and analysis.
- Excellent organizational and time management skills, with proven ability to adhere to strict deadlines and multiple priorities.
- Ability to perform payroll calculations, deductions and wage garnishments, etc.
- Demonstrated ability to work well as a team.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Qualifications/Requirements
- Bachelor’s degree in Finance, Accounting, Human Resources, or a related field.
- Minimum of 5 years of payroll processing experience.
- At least 2 years of experience in a senior or supervisory role.
- Proficiency in payroll software (e.g., ADP, Paychex, or similar systems) and Microsoft Excel.
- Professional certification (e.g., CPP, FPC) is a plus.
- Clearance of favorable background investigation required.
