Purpose

The Senior Payroll Specialist oversees the payroll process for our diverse workforce, ensuring full compliance with federal, state, and local regulations. This role also spearheads audit responses and serves as a subject matter expert on payroll procedures and regulatory compliance.

 

Responsibilities

  • Oversee and process bi-weekly and monthly payroll for all employees, ensuring accuracy and timeliness.
  • Review and reconcile payroll data, including hours worked, overtime, bonuses, and deductions.
  • Maintain and update employee payroll records, including new hires, terminations, and changes in status.
  • Ensure compliance with all applicable laws and regulations related to payroll, taxes, and reporting.
  • Prepare and submit payroll tax filings and ensure accurate payment of payroll taxes.
  • Respond to employee inquiries regarding payroll, deductions, and related issues, providing excellent customer service.
  • Collaborate with HR and Finance teams to resolve payroll discrepancies and ensure data integrity.
  • Assist in the implementation and optimization of payroll systems and processes.
  • Prepare payroll reports for management and provide insights on trends and issues.
  • Mentor and train junior payroll staff, fostering a culture of continuous improvement.
  • Maintain a working knowledge of FDA 21 CFR 1271, FDA 21 CFR 820, AATB standards, ISO Standards, cGMP/CGTP, other relevant regulations/standards, and internal organizational policies and standard operating procedures.
  • Start job duties on time, stay on the job throughout the assigned shift to complete duties properly, and attend all scheduled meetings and appointments.
  • Work outside normal business hours during weekdays and on the weekend as needed to support business/operational needs.
  • Perform other related duties as assigned.

 

Skills

  • Strong knowledge of federal, state, and local payroll regulations and tax laws.
  • Exceptional attention to detail and accuracy in data entry and analysis.
  • Excellent organizational and time management skills, with proven ability to adhere to strict deadlines and multiple priorities.
  • Ability to perform payroll calculations, deductions and wage garnishments, etc.
  • Demonstrated ability to work well as a team.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

 

Qualifications/Requirements

  • Bachelor’s degree in Finance, Accounting, Human Resources, or a related field.
  • Minimum of 5 years of payroll processing experience.
  • At least 2 years of experience in a senior or supervisory role.
  • Proficiency in payroll software (e.g., ADP, Paychex, or similar systems) and Microsoft Excel.
  • Professional certification (e.g., CPP, FPC) is a plus.
  • Clearance of favorable background investigation required.
